Description

Reporting to the Director of Administration and Human Resources, the Accounting and Administrative Services Coordinator actively contributes to daily accounting, billing, and administrative operations. This person acts as a resource for the Director and the team while independently performing various accounting and administrative tasks.

They ensure the accuracy of financial data, adherence to billing deadlines, project budget tracking, and the smooth execution of administrative activities. Through versatility and rigor, they play a key role in maintaining the continuity and efficiency of the department’s operations.

Main Responsibilities

Team Coordination

  • Ensure follow-up and coordination of activities within the accounting and administrative services team in support of management;
  • Collaborate on task allocation and deadline tracking to help ensure timelines are met;
  • Support and guide the team regarding internal procedures and best practices.

Accounting and Finance

  • Support and assist the accounting team in its daily activities and in applying best practices;
  • Provide mentorship to guide the team on key knowledge areas and processes;
  • Participate in financial planning and budget monitoring in collaboration with the team;
  • Ensure the quality and consistency of accounting operations;
  • Perform necessary accounting tasks in the event of team absences or for occasional needs.

Billing and Project Tracking

  • Oversee the full project billing cycle, from project setup to issuing final invoices;
  • Work closely with project managers to ensure rigorous tracking of work progress and progressive billing;
  • Follow up on accounts receivable, including outstanding invoices, payments, and reminders;
  • Analyze and reconcile work in progress to ensure accurate revenue recognition;
  • Produce various financial reports related to projects and support management in performance monitoring;
  • Perform any other related tasks contributing to effective administrative and financial project management.

Payroll (Temporary Responsibility)

  • Handle the full payroll process, including collecting and verifying timesheets, calculating wages, overtime, premiums, and deductions, in compliance with tax laws, labor standards, and internal policies;
  • Provide employee support regarding payroll or benefits questions and make required corrections or adjustments;
  • Manage the employee lifecycle, including preparing hiring documents, administrative onboarding, updating HR records, and processing departures;
  • Administer employee benefits (group insurance, group RRSP), track absences, vacations, and time banks;
  • Work closely with the HR team on projects (recruitment, training, process optimization) and with the accounting team to ensure consistency between payroll and accounting.

Administration and Process Improvement

  • Participate in the continuous improvement of accounting and administrative processes;
  • Prepare documents and communications for management as needed;
  • Perform other related duties.

Skills and Qualifications

  • Degree in accounting, administration, or a related field;
  • Experience in team coordination, supervision, or coaching;
  • Proficiency with SAGE and Employeur D (an asset);
  • Strong attention to detail, organizational skills, and ability to manage priorities and deadlines effectively;
  • Excellent communication and collaboration skills, with strong team spirit;
  • Ability to share knowledge and support the development of team members.
